This Privacy Policy explains how we process personal data when you use our website, contact us or purchase products from us.

2. Business customers

SetupRobotics operates primarily as a B2B supplier.

Although our customers are businesses, we process personal data relating to individual employees, contact persons, purchasers and other representatives of those businesses.

3. Personal data we process

Depending on how you interact with us, we may process:

  • name and company name;
  • billing and delivery addresses;
  • business email address and telephone number;
  • VAT number and VAT validation information;
  • order details and correspondence;
  • account and login information if you choose to create an account;
  • payment-related references and transaction status;
  • IP address, browser/device information and security-related information;
  • cookie and consent preferences;
  • technical logs required for operation, security and troubleshooting.

Payment card details entered into Stripe's payment fields are processed directly by Stripe. SetupRobotics does not receive the complete card number through the normal WooCommerce checkout fields.

4. Why we process personal data

Orders, quotations and customer service

To process orders, deliver products, respond to enquiries and provide technical or commercial support.

Customer accounts

If you choose to create an account, we process the information necessary to provide and administer that account. An account is not required for all purchases.

Payments and fraud prevention

Stripe processes online card payments and associated payment and fraud-prevention information. Stripe may use hCaptcha and other security measures as part of its payment infrastructure.

Delivery

We provide the necessary recipient and delivery information to the carrier used for the shipment. SetupRobotics currently handles UPS shipping manually rather than through an automatic webshop carrier integration.

Accounting and legal obligations

Relevant invoice, transaction and customer information is processed for bookkeeping, tax and other legal obligations. Accounting information may be entered into e-conomic.

Website operation and security

We process technical information necessary to operate WooCommerce, manage sessions and carts, maintain security, prevent abuse and troubleshoot the website.

5. Legal basis

Depending on the circumstances, our processing is based on:

  • performance of a contract or steps requested before entering into a contract;
  • compliance with legal obligations, including accounting and tax requirements;
  • our legitimate interests in operating our business, providing customer service, maintaining security, preventing fraud and documenting business transactions;
  • consent, where consent is required.

When we deal with an employee or representative of a corporate customer, processing is not automatically based on a contract with that individual. In appropriate cases we rely instead on our legitimate business interests.

6. Newsletter and marketing

We do not currently offer public newsletter signup and are not currently sending regular newsletters.

Historical subscription and consent/status records may remain in our systems where there is a legitimate reason to retain them, for example to document previous consent, unsubscribe status or suppression from future marketing.

If newsletter signup is reintroduced, marketing emails will only be sent on an appropriate legal basis, normally consent, and recipients will be able to unsubscribe.

7. Cookies and similar technologies

We use cookies and similar storage technologies necessary for functions such as:

  • WooCommerce carts and sessions;
  • login and account functionality;
  • cookie and consent preferences;
  • payment and fraud-prevention services;
  • website security and operation.

Stripe and its security services may set cookies or similar identifiers in connection with payment and fraud prevention.

8. Service providers and recipients

We use a number of service providers to operate the website and fulfil orders, including:

  • Simply.com for website hosting and email infrastructure;
  • Stripe for online payments and payment security;
  • hCaptcha and related security services used as part of Stripe's security infrastructure;
  • UPS or other agreed carriers for delivery;
  • e-conomic for accounting;
  • WordPress, WooCommerce and related software used to operate the webshop.

We only disclose personal data when necessary for the relevant service, legal obligation or legitimate business purpose.

9. International transfers

Some service providers may process personal data outside Denmark or the European Economic Area.

Where such transfers are subject to GDPR transfer requirements, the relevant provider must use an applicable transfer mechanism or safeguard, such as an adequacy decision, the EU Standard Contractual Clauses or another legally recognised mechanism.

10. How long we keep personal data

We retain personal data only for as long as necessary for the purpose for which it was collected and for any applicable legal, accounting, warranty, dispute or documentation requirements.

Order, invoice and accounting records are retained for the period required by applicable Danish accounting and tax law.

Account, correspondence, technical, security and marketing-related records are reviewed and retained according to their purpose and any applicable legal or dispute-related requirements.

Unsubscribing from marketing does not necessarily require immediate deletion of all historical records, as limited information may need to be retained to document the unsubscribe request or prevent further marketing.

11. Your rights

Subject to the conditions and limitations in applicable data-protection law, you may have the right to:

  • request access to your personal data;
  • have incorrect personal data corrected;
  • request deletion of personal data;
  • request restriction of processing;
  • receive certain personal data in a portable format;
  • object to processing based on legitimate interests;
  • object at any time to direct marketing;
  • withdraw consent where processing is based on consent.

Withdrawal of consent does not affect processing that was lawful before the withdrawal.

12. Complaints

If you believe that our processing of personal data infringes applicable data-protection law, you may contact us first so that we can investigate the matter.

13. Changes to this Privacy Policy

We may update this Privacy Policy when our services, systems, suppliers or legal obligations change.

The current version will always be published on this website.
